SUMMARY

The Administrative Assistant for Mission Advancement serves the mission advancement office of the college by providing administrative support for the Vice President for Mission Advancement, Annual Fund and Data Manager, and the President of Martin Luther College.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The responsibilities and duties of the position shall include, but are not limited to, the following:

  • Communicate effectively via phone, email, and in-person.
  • Assist with typical day to day office tasks: answering phones, opening office mail, office correspondence and mailings for the department, Vice President for Mission Advancement, and Annual Fund and Data Manager.
  • Manage the calendar of the President for meetings, visits, etc. with Mission Advancement focus.
  • Coordinates on-campus visits and donor meetings for the President.
  • Assist with daily functions and accuracy of donor database (Raisers Edge) management.
  • Ensure timely gift processing including donor acknowledgements.
  • Attend weekly development planning meetings and monthly development department meetings.
  • Provide accuracy with record keeping, filing, and correspondence for all donors.
  • Prepare and organize department, campus, and campaign-related materials for travel events, on-campus events, direct mailings, publications and solicitations, etc.
  • Assist with donor-related activities and gifts, thank you letters, phone, and written correspondence, etc.
  • Manage and track all aspects of the scholarship thank you process.
  • Work with other areas of campus regarding MLC sponsorship requests
  • Assist with the e-newsletter and web content systems.
  • Secondary responsibilities include providing assistance to other members of the department.
  • Conduct other job-related duties and functions as assigned.

SUPERVISORY RESPONSIBILITIES

This position may assist with supervision of student workers while following policies and procedures, and maintaining standards, efficiencies and quality of work.

EDUCATION AND/OR EXPERIENCE

• A high school diploma or general education degree (GED) is required.
• College experience or degree is preferred.
• At least three years of administrative work preferred.
• Basic understanding of accounting principles and practices is preferred.
• Prior experience in higher education is preferred.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to communicate, and talk or hear, walk, sit, stand, bend and kneel. This individual is frequently required to use hands to finger, handle, or feel, manipulate objects, tools or controls. The employee is occasionally required to stand and reach with hands and arms. The position requires frequent mobility, with regular minimum physical exertion and occasional moderate physical exertion with ability to maintain balance, walk and talk while walking backwards. Duties involve moving materials weighing up to 20 pounds on a regular basis and up to 40 pounds on an occasional basis. Manual dexterity and coordination are required over 90% of the work period while operating equipment such as phones, computer, computer keyboard, mouse and similar office and classroom machines. The position requires vocal communication by means of the spoken word, and hearing is required to perceive information. Specific vision abilities required by this job include close vision, depth perception and ability to adjust focus.

The noise level in the work environment is usually low to moderate. This position does not require travel. This position is not authorized for permanent telecommuting. This position may apply for short-term telecommuting during regularly stated office hours with consideration for essential in-person responsibilities.

COMPENSATION

Salary is negotiable and commensurate with responsibilities and experience. This is a 1.00 FTE (40-hours weekly), year-round, non-exempt hourly position with benefits.
